Farmers Market Associate

Terms: Part Time

Event & Guest Experience Manager

We are seeking an experienced, energetic, and highly organized Event & Guest Experience Manager to lead our Events Department. This leadership role is responsible for overseeing the planning, execution, and continued growth of all farm events while creating exceptional guest experiences that reflect the Hobe Sound Farms brand.

This is a hands-on management position that combines leadership, operations, sales, customer service, and event production. The successful candidate will manage a small team, oversee event logistics from inquiry through execution, and continually seek new opportunities to improve guest experience and grow department revenue.

Position Summary

The Event & Guest Experience Manager oversees the planning, coordination, execution, and continuous improvement of all Hobe Sound Farms events, including but not limited to:

  • Private Event Rentals
  • Weddings
  • Birthday Parties
  • Corporate Events
  • Educational Field Trips
  • Private Tours
  • Hobe Sound Farms Hosted Events
    • Line Dancing
    • Concerts
    • Oktoberfest
    • Holiday Events
    • Seasonal Festivals

This individual serves as the department leader, ensuring every event is executed with professionalism, exceptional hospitality, and attention to detail while meeting financial goals and maintaining the highest level of guest satisfaction.

Leadership Responsibilities

  • Lead, mentor, and manage the Events Department team.
  • Directly supervise the Field Trip Coordinator and Event Staff.
  • Develop staff schedules and ensure proper event coverage.
  • Foster a positive, customer-focused team culture.
  • Provide coaching, training, and performance feedback.

Event Management Responsibilities

  • Oversee every stage of event planning from initial inquiry through post-event follow-up.
  • Conduct venue tours and consultations with prospective clients.
  • Develop detailed event timelines and production schedules.
  • Coordinate vendors, rentals, entertainment, catering, and event logistics.
  • Ensure all event spaces are properly prepared and maintained.
  • Manage on-site event execution while quickly resolving any issues that arise.
  • Continually improve operational systems and event processes.

Sales & Business Development

  • Respond promptly to event inquiries via phone, email, website, and social media.
  • Prepare proposals, contracts, invoices, and event documentation.
  • Collect deposits and final payments according to company policies.
  • Build strong relationships with clients, vendors, schools, and community organizations.
  • Identify opportunities to increase bookings and improve guest experiences.
  • Assist in developing new event concepts, educational programs, and seasonal experiences.

Financial & Administrative Responsibilities

  • Manage department budgets and event profitability.
  • Prepare reports related to bookings, revenue, and event performance.
  • Maintain accurate event records and calendars.
  • Ensure contracts, payments, permits, and documentation are completed accurately.
  • Monitor department KPIs and recommend operational improvements.

Guest Experience

  • Deliver an exceptional guest experience from first inquiry through event completion.
  • Maintain the highest standards of professionalism and hospitality.
  • Resolve guest concerns with confidence and professionalism.
  • Continuously seek opportunities to enhance the Hobe Sound Farms experience.

Qualifications Required

  • Minimum 3 years of event management or hospitality management experience.
  • Previous leadership or supervisory experience.
  • Exceptional organizational and project management skills.
  • Excellent written and verbal communication skills.
  • Strong customer service and relationship-building abilities.
  • Ability to manage multiple projects simultaneously while meeting deadlines.
  • Comfortable making decisions in a fast-paced environment.
  • Willingness to work evenings, weekends, and holidays as required by the event schedule.
  • Comfortable working in an outdoor farm environment.

Preferred

  • Bachelor’s degree in Hospitality Management, Business, Event Management, Marketing, or a related field.
  • Experience managing weddings, festivals, concerts, or agritourism events.
  • Experience with CRM systems, Google Workspace, Canva, Mailchimp, WordPress, Square, or similar software.
  • Experience managing budgets and department performance.
